01Who is responsible for your data

A.H.I Agency Limited (RC 344301), of Plot 1055 Sani Abacha Eastern Bypass Road, Birnin Kebbi, Kebbi State, Nigeria, is the data controller for personal data described in this policy. Our Administration Manager is responsible for data protection matters and can be reached at ahiagencylimitd@gmail.com.

This policy is written to comply with the Nigeria Data Protection Act 2023 and the Nigeria Data Protection Regulation.

02Summary

This website does not collect anything about you. It sets no cookies, runs no analytics, and has no server-side form handling. The only personal data we hold is what you choose to send us directly — by email, telephone or in the course of a contract — and what we must keep about our staff and suppliers.

03What personal data we collect

From visitors to this site

None. The enquiry form on our contact page builds a message inside your own email application; it does not transmit anything to this website or to any third party. If you close the message without sending it, we never see it.

Our web hosting provider may keep standard server logs — including IP addresses and request times — for security and operational purposes. Those logs are held by the provider under its own terms, and we do not use them to identify individual visitors.

From people who contact us

your name and the organisation you represent;
your email address and telephone number;
your job title or role, where you give it;
the content of your enquiry and any documents you attach.

From clients, partners and suppliers

contact details of named officers and representatives;
correspondence, contract documents and site records;
bank and payment details where needed to invoice or be paid;
identity and due-diligence documents where a procurement process requires them.

From job applicants and employees

curriculum vitae, qualifications and references;
identity, tax and pension records required by Nigerian law;
site attendance, training and safety records.

04How we collect it

We collect personal data directly from you — when you email or telephone us, when you meet our staff, when you submit a tender or respond to one, and in the course of performing a contract. We may also receive your details from a procuring entity, a consultant or a joint-venture partner where you are named as a contact on a project.

05Why we use it

to answer your enquiry and prepare a quotation or tender;
to negotiate, perform and administer contracts;
to manage projects, site records and correspondence;
to invoice, take payment and keep accounting records;
to meet obligations to the Corporate Affairs Commission, the Federal Inland Revenue Service, state revenue authorities, and — for minerals work — the Mining Cadastre Office and Mines Inspectorate;
to comply with procurement, audit, health-and-safety and employment law;
to protect our legal position in the event of a dispute or claim.

We do not sell personal data, we do not share it for advertising, and we do not use it for automated decision-making or profiling.

06Lawful basis for processing

Contract — where processing is necessary to enter into or perform a contract with you or your organisation.
Legal obligation — where Nigerian tax, company, employment, procurement or mining law requires us to hold records.
Legitimate interests — to respond to business enquiries, keep records of our dealings, and protect the company's legal and commercial position, where those interests are not overridden by your rights.
Consent — where you have expressly agreed, for example to be kept on a list of prospective partners. You may withdraw consent at any time.

07Cookies and tracking

This site sets no cookies. It contains no analytics, no advertising pixels, no social-media trackers and no third-party embeds that profile you.

The site loads its typefaces from Google Fonts, which means your browser makes a request to fonts.googleapis.com and fonts.gstatic.com. Google may log the IP address of that request under its own privacy policy. No other third-party service is contacted by this site.

If we ever introduce cookies or analytics, we will update this policy and seek your consent before any non-essential cookie is set.

08Who we share it with

We disclose personal data only where it is necessary, and only to:

our own directors and staff who need it to do their work;
professional advisers — our auditors, accountants, bankers and lawyers;
subcontractors and suppliers engaged on a project, limited to what they need;
clients and procuring entities, where a contract or tender requires disclosure — for example, submitting the CVs of key management staff as part of a bid;
government agencies and regulators where the law requires it;
a purchaser, in the event of a sale or reorganisation of the business.

Where we submit the qualifications of our key management staff in a tender, we do so with their knowledge, and only to the extent the tender documents require.

09Transfers outside Nigeria

Our records are held in Nigeria. Some of our email and document services are provided by international providers whose servers may sit outside Nigeria. Where personal data is transferred abroad, we take reasonable steps to satisfy ourselves that it is protected to a standard adequate under the Nigeria Data Protection Act 2023 — including by relying on the provider's contractual data-protection commitments.

10How long we keep it

General enquiries — up to 24 months from our last correspondence, then deleted.
Unsuccessful tenders — up to 3 years, for audit and reference.
Contract and project records — for the life of the contract and at least 6 years after final completion, or longer where a defects liability period, a dispute or a statutory requirement demands it.
Accounting and tax records — for the period required by Nigerian tax and company law.
Employment records — for the duration of employment and the retention period required by law thereafter.

11How we protect it

We apply reasonable technical and organisational measures appropriate to the size of our business: access to records is limited to staff who need it, physical files are held in secured offices, devices and accounts are password-protected, and correspondence containing sensitive commercial or personal information is not forwarded outside the company without authorisation.

No transmission over the internet is completely secure. If a personal data breach occurs that is likely to result in a risk to your rights, we will notify the Nigeria Data Protection Commission and, where required, you, in accordance with the Act.

12Your rights

Under the Nigeria Data Protection Act 2023 you have the right to:

be informed about how we use your personal data — which is what this policy is for;
request a copy of the personal data we hold about you;
have inaccurate or incomplete data corrected;
request deletion of your data where we no longer have grounds to keep it;
object to processing carried out on the basis of our legitimate interests;
request that we restrict processing while a dispute about accuracy or grounds is resolved;
receive data you gave us in a portable, machine-readable format;
withdraw consent at any time, where consent is our basis for processing;
lodge a complaint with the Nigeria Data Protection Commission.

To exercise any of these rights, write to ahiagencylimitd@gmail.com. We will respond within one month. We may ask you to confirm your identity before we release information, and we may not be able to delete records we are legally required to keep.

13Children

This site and our services are directed at organisations and business contacts, not at children. We do not knowingly collect personal data from anyone under 18. If you believe we hold such data, contact us and we will delete it.

14Changes to this policy

We may update this policy to reflect changes in our practices or in the law. The date at the top of this page shows when it was last revised. Material changes will be signposted on this page.
